1. Who this policy covers
This policy applies to personal information collected by Drill Bits Recyclers Pty Ltd (ABN 26 685 656 464, trading as Drill Bits Recyclers) in the course of operating as a specialty metals recycling business. It covers our website, our enquiry and contact forms, and phone or email correspondence with current or prospective customers, suppliers and other business contacts.
We are a business-to-business operator. We do not knowingly collect personal information from members of the public in a consumer capacity, and this policy is written with that in mind.
We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) set out in that Act.
2. What we collect
Depending on how you interact with us, we may collect:
- Contact details: name, business name, job title, phone number, email address and postal or site address.
- Details you provide in an enquiry, quote request or contact form, including information about the materials, quantities or site you’re asking about.
- Records of phone calls and correspondence, where you contact us directly.
- Technical and usage information collected automatically when you visit our website, such as IP address, browser type, pages viewed and referring site, generally gathered through analytics tools.
We do not seek to collect sensitive information (as defined under the Privacy Act) and ask that you avoid including it in enquiries unless it’s genuinely necessary.
3. How we collect it
Wherever practical, we collect personal information directly from you: through our website forms, by phone, by email, or in person at our yard. If we receive personal information about you from a third party, such as a referral from another business, we’ll only use it for the purpose it was given to us for, unless you agree otherwise.
4. Why we collect and use it
We collect and use personal information to:
- Respond to enquiries and provide quotes.
- Arrange and manage collections, bin drops and site visits.
- Process transactions, including weighing, grading and payment.
- Maintain records for accounting, tax and dispute-resolution purposes.
- Improve our website and services, including through analytics.
- Comply with our legal obligations.
If we use personal information for direct marketing, we will do so only where permitted by law. Every direct marketing message will provide a way to opt out, and you can also ask us to stop using your details for that purpose by contacting us.
5. Disclosure to third parties
We don’t sell personal information. We may disclose it to:
- Service providers who help us operate the business, such as hosting, website analytics, accounting, email or IT support providers.
- Freight and logistics providers, where necessary to arrange collection or delivery of a bin or container.
- Regulatory bodies or authorities, where required by law.
- A professional adviser, such as our accountant or lawyer, where necessary.
We require these parties to handle personal information in a manner consistent with this policy.
6. Storage and security
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. This includes physical, electronic and procedural safeguards appropriate to the size of our business.
We retain personal information only for as long as it is reasonably required for the purpose it was collected, or for any period required by law. Some service providers may store or process information outside Australia. Where that occurs, we take reasonable steps required by the Privacy Act before disclosing personal information overseas.
When personal information is no longer required for the purpose it was collected for, and we’re not required to keep it by law, we take reasonable steps to destroy or de-identify it.
7. Access and correction
You can ask us for access to the personal information we hold about you, and ask us to correct it if it’s inaccurate, out of date or incomplete. To make a request, use the contact details below. We’ll respond within a reasonable time. In some circumstances permitted under the Privacy Act, we may need to decline a request, and if so we’ll explain why.
8. Cookies and website analytics
Our website may use cookies or similar technologies to understand how it’s used and to improve it. Most browsers let you control or disable cookies through their settings. Disabling cookies may affect how parts of the website function.
9. Complaints
If you think we’ve breached the Australian Privacy Principles, contact us using the details below and we’ll investigate. If you’re not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
